Streamlining the Constitution

Proposed by: The Committee (Adam to speak at the AGM on behalf of the committee)

We Believe that the current society constitution is in need of changing, to bring it up to date, remove out of date clauses and improve readability. As such we propose the following changes to the constitution are made.

To remove the redundant clauses 1.2(g) and 1.2(o) and to replace 1.2(h); “To work with and to support Union Council’s LGB representative,” with “To work with the LGBT Assembly when appropriate to fulfil the above aims.”

To remove redundant clause 2.1.

To add the following to Section 4.1, Composition of the Committee:

‘If a committee position is not filled after the AGM, or if a committee member resigns, a by-election can be held to fill the position at the committee’s discretion.’

To correct a grammatical error in clause 4.24.

To amend section 4.3.5 (confidentiality of the member list) to include “except for the societies executive for insurance purposes.”

To correct grammatical errors in clauses 4.54(c) and 4.54(e).

To move section 4.61, “To attend LUU’s Annual General Meeting” from section 4.6 (Duties of all officers) to section 4.7, (Duties of the Core Officers).

To amend section 4.10.3 (confidentiality of the member list) to include “except for the societies executive for insurance purposes.”

Amend 4.11, 4.12 & 4.13 To actively campaign to improve the position of all men/women/trans members (as applicable to men’s/women’s/trans’ officers) in the society, and particularly within LUU in conjunction with the LGBT assembly.

To remove the redundant section on General Meetings, and to move clauses 6.1-6.7 and 6.9-6.10 into section 7, Annual General Meetings. To remove clause 7.4(b) relating to General Meetings.

To remove redundant clause 10.1.

To add the following to Section 10, Elections:

“No member may hold more than one position on the committee. In the event of a member being elected to 2 positions, they must choose one, and the runner up for the other position will take that position. If there are no other candidates, a by-election will be held.”

To amend section 10.7 to avoid ambiguity.

To amend clause 11.3.4 to remove a redundant phrase.

Strengthening links between the LGBT Society & LGBT Assembly

This Society notes:
1. The LGBT Assembly was a new democratic structure put in place this year to deal with the politics, representation and welfare of LGBT students in LUU & the University.
2. The LGBT Society accounts for a large number of LGBT students.
3. Prior to the LGBT Assembly, the LGBT had NO Union representative for a year. This caused considerable problems.
4. In the LGBT Society constitution it is stated that the committee will work with and support the Union’s LGBT rep, however there have been problems this year.
5. The LGBT Assembly and LGBT Society share facilities, information and objectives.
6. The LGBT Assembly has worked tirelessly to end the discrimination of and promote equality of LGBT students in LUU & the University, which has seen successful results that benefit LGBT Society members.
7. The LGBT Assembly has a great deal of influence upon the Union & University bodies and policies and is working with the best interests of the LGBT Society and its members in mind.

This Society believes:
1. That the problems encountered problems have been detrimental to the provision of welfare, representation, support and advice for LGBT Society members.
2. The Society committee and LGBT Assembly should work closely together, to provide the best possible welfare and representation package for the benefit of LGBT Society members.

This Society resolves:
1. That all relevant e-mails sent to the society webmail will be forwarded to the Assembly Chair.
2. That in the future the LGBT Assembly and the LGBT Society committee will work together to share facilities, resources or information etc.
3. Due to the political importance of NUS LGBT conference, the information gained there and the influence it has upon the Union & University politics with regards to LGBT Students, the LGBT Assembly is in charge of organising elections and delegations to attend the conferences with the help of the Society committee. All LGBT Society members will still have an equal opportunity to go.
4. As the LGBT Assembly’s and LGBT Society’s welfare officers duties overlap, the welfare officers will work closely with the LGBT Assembly Chair to run awareness campaigns. These will be funded for from the LGBT Assembly’s campaigns budget and gain the best possible representation, support, and advice for members by working with the LGBT Assembly and their contacts in the various departments of the Union & University.
5. To work co-operatively with the LGBT Assembly by publicising its contact details (and website when completed) and pass important information between the LGBT Society members and LGBT Assembly, to ensure effective communication and representation for all LGBT Society members.

Complaints Procedure

1. If any member wishes to make a verbal complaint to a committee member they are welcome to do so, and the committee will discuss the complaint.
2. Further action will only be taken when complaints are received in writing.
3. All written complaints must be accompanied by a name, and will be treated with total confidentiality by the committee.
4. If necessary, after discussion, the committee will take further action and preventative measures to solve the complaint.
5. If appropriate, these complaints will be passed on to the LGBT Assembly Chair.
